Conference dates

  • The conference will be held July 25-29, 2022. (Changed from the earlier suggestion of July 11-15 - see 10/3/19 email from Gladis.)

Accommodations and lecture hall reservations

  • We have secured a reservation with Conference Housing Services of 200 dorm beds for July 24-30, 2022 (an email from Teri Parker dated September 17, 2019 confirmed earlier dates of July 11-15, 2022. Gladis later contacted Conference Housing and confirmed changing the dates to July 24-30). The reservation will be held until January 2022, at which time we will need to sign a contract and commit funds to secure the reservation.
  • We have secured a reservation of a conference hall with the UC Davis Conference Center for July 25-29, 2022.

Committees

  • Organizing committee:
    • people currently involved are Anne Schilling, Eugene Gorsky, Erik Carlsson, Fu Liu, Monica Vazirani, Dan Romik, Jesus De Loera.
    • We probably need to decide on a chair for the organizing committee at some point.
  • Program committee chairs:
    • Thomas Lam, Hugh Thomas, Josephine Yu agreed to serve.

Organizational meetings

  • First organizational meeting: held on 9/26/19.
    • In attendance were: Anne, Dan, Erik, Fu, Monika, Eugene.
    • We discussed dates, dorm and lecture room reservations, the program committee chairs, drawing up a budget, and possible sources for funding.
    • Action items: Anne will draw up a rough budget. We will review it and start working on preparing a request for funds to send to the Dean. Dan said he will help with this.

Budget

  • Expenses
    • Lecture hall: $\$3820 = 5\times \$764$ (5 days for 9 hours)
    • Poster session: $\$312 = 4 \times \$78$ (two sessions for 2 hours each)
    • Invited speakers: $\$18000 = 9\times \$2000$ (9 speakers)
    • Coffee breaks: $\$11250$ (\$10 per person per day for 250 participants for 4.5 days)
    • Reception: \$3000
    • Business dinner: \$1000
    • Student prize: \$500
    • Swag, conference poster etc: perhaps we can get a sponsor?
  • Income
    • Registration fee from students: \$10,000 (\$100 for 100 students)
    • Registration fee from non-students \$30,000 (\$200 for 150 non-students)
